Execute the??departmental?marketing communication?program?created by the Director of the Office of Student Activities ?for all programs produced for the campus by the Student Activities Office including but not limited to ?Commencement, ?Orientation, Horwitz, Ullman, Gold Humanism, CAP and Wellmed?as well as other special events as required.


Responsibilities entail working with various departments including:??web-runners, internal communication, interactive media, student affairs, graphic arts, alumni office, teaching office as well as outside vendors including photographers, publishers, printers, etc. Work involves proofreading, occasional copyrighting,?creating flyers,?updating of websites, liaising with various departments for approvals, etc.

  • Work hand in hand with graphic arts and internal communications departments ?for all events sponsored by the OSA for items including but not limited to: printed promotion, OSA web site, social media, flyers, posters, banners, invitations, programs, awards, certificates, bulletin boards, PR, flat screens, calendars, yearbook, ?ESA?s, ?emails.
  • Oversee the Einstein campus store including ordering,?tracking of inventory,?financial reporting,?distribution and receivables.?
  • Update touchnet payment systems for all events that require payments
  • Oversee integrated calendar for OSA including all OSA postings and approvals of postings by students and campus
  • Coordinate all aspects of yearbook working closely with printer, student committee, parents, departments
  • Coordinate all aspects of the Student Activities web site and continue to regularly update and improve including CMS and HTTMS ?web design. Assist OSA with Wellmed, OME and CAP sites.
  • Create surveys using Survey Monkey as requested
  • Regularly meet with graphic arts, web interactive media
  • Student Activities liaison with student interest groups, ?clubs and SGB
  • Social committee OSA representative. Spearhead meetings and liaise with the students?for?programming, d?cor, advertising, ?touchnet, etc


Specific to Commencement?and Commencement ?web site:

  • Oversee the commencement database?for MD and Ph.D. students which includes important commencement information for family hooders, special needs requests, stage children,?commencement tickets, seating, dressing, ?appreciation diplomas and dinner dance participation.
  • Working with the Director and graphic arts department coordinate all the printed items and signage necessary for participants including the program


Specific to Orientation?and the Orientation web site:

  • Liaise with Orientation Leaders for Orientation Committee bios and pictures
  • Import Liability forms, Direct Deposit form, and HIPPA forms for student electronic submission
  • Track important information for the ?Faces of Einstein? fair including participants, AV/IT needs, and setup
  • Liaise with various departments including,Library,??Benefits, Occupational Health, Security, and Housing for updates on important documents
  • Work hand in hand?as part of the Student Activities team?for event planning with students, speakers, faculty, administration, vips , Deans, Phd and alumni ?office and appropriate service departments such as audio visual and IT to produce the highest standard of professional programming on behalf of the campus.
  • Additional duties as assigned.
  • Bachelors degree and at least 3 years of related experience.


  • Must be able to use or quickly learn PC and AC as well as various technologies used by the office such as: Safari, Firefox, Microsoft Office (Word, Excel), electronic media, calendars (iCal), Outlook, Palm, Iphoto, Isync, Photo Shop, Einstein Purchasing System, Google Docs, R25 Live
  • High degree of familiarity with college organization and departmental policies, procedure and practices.
  • Uses independent judgment when responding to inquiries and able to perform duties independently.
  • Excellent verbal & writing skills are required.
